Today, we are announcing some big changes to our plan limits. We’re so grateful you’ve been creating and storing your work on Playbook. You’re part of a community that’s now over 2M designers and creatives strong — and we wouldn’t be here without you.
For the past 5 years, we’ve kept things fun, supportive, and (let’s be real) pretty generous with storage. To stay sustainable, we have to update our plans.
Here’s what’s changing (effective September 15, 2025): Free and A&D plans will now get:
- Up to 300 total assets (500 for A&D). You’ll be able to keep any existing files above this limit, but won’t be able to upload more unless you upgrade. You can still archive old files, which won't count towards the limit.
- Up to 3 guests per workspace. You’ll keep any existing guests over the limit, but won’t be able to add more.
- Up to 5 shared links. You’ll keep any existing shared links over the limit, but won’t be able to create more.
- Up to 3 nested sub-boards. You'll keep any existing sub-board structures over the limit, but won't be able to create more.
Additionally, we’re pausing the A&D plan from accepting new applications.
We know this is a big shift. As a result, we’ve prepared a list of questions you may have below.
When do these changes go into effect?
The asset, guest, shared link and nested sub-board limits will go into effect on September 15, 2025 for all new users and Free workspaces. For A&D workspaces, we are offering a six-week grace period to ensure a smooth transition.
How does archiving work? Does archive count towards your total assets?
Archived files can be viewed and downloaded but have limited functionality. They do also not count towards your total asset count.
They won’t show up in search, can’t be shared or commented on, and can't be multi-selected with batch actions. They also take additional time to restore if you unarchive them, as we need to retrieve it from cold storage. Many users use this approach to curate Playbook as their main creative portfolio while storing older, rarely-touched work in Archive.
What happens if I'm over the asset limit?
Files uploaded before the new limit goes into effect will remain in your account. You can log in to view, download, and share them. However, you won’t be able to add new assets until you’re under the limit, archive some files, or upgrade. You can still add notes, links, and color palettes.
Archiving lets you keep everything in Playbook while still staying within your plan’s limit. Just know that archived files have reduced functionality — they won’t appear in search, can’t be shared or commented on, and will take a few business days to unarchive.
For long-term account health, if an account stays over the limit for 1 year or longer without taking action (upgrading, archiving, or deleting), its content may become eligible for deletion. We’ll notify you well in advance if that happens.
I’m over the limit but don’t want to upgrade. What are my options?
You’ll always be able to log in and access your account. Nothing is automatically removed. If you’re over the limit, you just won’t be able to add new files until you either reduce your total, move some assets into Archive, or upgrade.
Archiving is a great option if you want to keep files in Playbook but don’t need to use them often. Archived files stay safe but have limited functionality (they won’t show up in search, can’t be shared or commented on, and will take additional time to restore if you unarchive them). Many users use this approach to curate Playbook as their main creative portfolio while storing older, rarely-touched work in Archive.
How does this affect "lifetime storage"?
If you’re on the A&D plan, you’ll continue to have 4TB of storage. If you're on the Free plan, you'll continue to have 100GB. What’s changing is that you can only keep 500 active assets (300 active for Free) in your workspace. Older work can be archived, which won’t count toward the limit.
Why limit assets instead of storage size?
Large non-creative files (like system backups) distorted usage and costs. By limiting assets, we keep Playbook focused on what it was designed for — creative work. Artists and designers still have plenty of room for their projects, while we avoid becoming a generic backup service.
What if I just want to use Playbook for storage, like Google Drive?
Playbook isn’t meant to be a raw storage tool — it’s a creative hub. Features like boards, palettes, and collaboration are designed for artists and creatives. If you only need bulk storage, tools like Google Drive or Dropbox may be better fits.
How big was the misuse problem? Could you have just dealt with the bad actors individually?
We have 100,000 A+D plan users today, and we estimate that 10-20% of them are engaging in misuse. We have done our best by implementing NSFW content detection and banning users who treat our service as simple backup storage. Last year, we even fought many phishing attacks. However, each time we responded, these users came back with better ways to circumvent the system. We care about our users' privacy and want to stay compliant (SOC2 and GDPR). We won't be able to monitor people's workspaces as this number keeps increasing so dealing with them individually won't work.
Starting this year, with so much generative AI, our resources are being directed toward helping media teams track their creative IP and protecting their files from AI misuse. This mission perfectly aligns with our core values, and we want to dedicate more time to this mission-critical work. While doing that, we still want the creator community to thrive on our platform, hopefully with less of the constant monitoring that we used to do.
What are your long-term plans?
Our goal is for these changes to create a sustainable, creator-first business that will last for a very long time. We don't make any profit off of most individual accounts today. But we will continue to work with larger enterprises and outside investors to help fund our creator-first program. We know these changes are deep and challenging for some of you, but they are designed so we will not have to do this again in the future.
What happens if I upgrade and then cancel later?
Your files remain in your account. You’ll still be able to log in, view, and download everything. However, you won’t be able to add more assets beyond your plan’s limit, and you will have usage restrictions.
If you stay over the limit for 1 year or longer without taking action (upgrading, archiving, or deleting), your content may become eligible for deletion. We’ll notify you well in advance if that happens.
Do loyal early users get anything special?
Yes. We’re deeply grateful to early users. That’s why we’re offering loyalty discounts and special upgrade deals. If you are a long-time Playbook user, please check your mailbox for those discounts. We want you with us for the long haul.
Will plans keep changing?
We don’t make changes lightly. When we do, it’s to ensure Playbook survives and thrives for the long term. Our promise: to be transparent, minimize disruptions, and keep Playbook generous compared to other platforms.
