Getting started

What is Playbook?

Think of Playbook as your creative HQ – an all-in-one file management platform designed for both solo creatives and growing teams. Playbook can help you store, organize and share all type of files, images, videos, and more.

How does the Free plan work?

The Free plan includes 100GB of storage or 300 total assets, whichever comes first. It's perfect for individual creators and personal projects starting out with up to 3 team members and 3 external guests.

I'm a new user, is there a beginners guide for Playbook?

Yes! A tutorial page on our site with great how-to’s! You can also reach us at support@playbook.com. While we aim to be as quick as possible, please allow 1-2 business days for a details response.

Can I own multiple Playbook workspaces?

Yes, you can create and own multiple Playbook workspaces to keep personal projects, client work, and team collaborations completely separate.

Are my files secure on Playbook?

Playbook takes security seriously, with a robust solid access control system that many clients rely on to keep their data safe.

  • Privacy – Files are monitored for violations of Playbook community terms. We're always working to restrict our access to customer data. For now this type of access is necessary to prevent abuse to protect our early community.
  • Security – Playbook is a safe place to store files. Our data is redundant across multiple regions and backed up regularly.
  • Encryption – All Playbook files are encrypted at rest. We do process unencrypted files at server time for features such as search and image similarity.

We do not sell your data and are not in the business of selling data to advertising companies, AI companies, or any other third parties.

Organizing

Will my folder structure be preserved during upload?

Yes! When you drag a folder into Playbook, it automatically converts into a board, and any nested folders becomes sub-boards, keeping your existing hierarchy intact.

Downloading boards with sub-boards from Playbook also preserves your folder structure.

What type of files does Playbook support?

We support all file types! While we handle standard documents (DOCX, PDF, XLSX), Playbook is especially good at handling visual assets like RAW, Adobe creative cloud, videos.

How does AI tagging work?

Playbook uses AI to scan your images, videos, and documents to assign descriptive tags automatically. While AI tagging is fully available for Team plan, Free and Pro plans can still give it a try by opening any asset and select "Try AI tags" in the Info panel.

Rest assured, Playbook never uses your personal assets to train our AI models or sell your data to third parties.

How does auto deduplication work? Can I disable it?

To keep your library tidy and save storage, Playbook auto-magically identifies and removes exact files matches visually during every upload.

If you prefer to keep every duplicates, you can navigate to SettingsAI features → toggle OFF Auto-clean deduplicates.

Inviting & Collaborating

Can I invite members beyond the 3-members limit?

Yes. The 3-member limit includes the Owner, Admins, and Members within your workspace. If you invite additional members beyond this limit, you will automatically be charged $12/month (or $120 annually) per additional member.

Can I invite someone to an individual board, but not my entire workspace?

Yes, you can invite them to a specific board as a Guest/Collaborator, which is located under Invite in the top header of your board.

You can set "can manage" or "view-only" permission for invited guests.

How can I transfer my ownership of a workspace?

After inviting the client to your workspace, navigate to the Members page and select a member to be the new Owner of the workspace. Once completed, scroll down to the bottom of the page and click "Leave this workspace".

Sharing & collecting files

Do my visitors need a Playbook account to see my shared links?

No. Whenever you share a link or a published board, anyone with the link can view, filter, add comments, and download your assets without ever creating an account or signing in.

How is "Publish" different from a default share link?

A default share is designed for quick, ad-hoc sharing, allowing others to see your assets in the standard Playbook interface, leave comments, and interact with them. Publish transforms your board into a professional, standalone webpage with more customizations, making it ideal for brand kits, portfolios, client gallery.

You can also customize your Publish URL. We don’t support Custom Domains yet, so you’ll still have playbook.com/[workspace-name]/... at the beginning of the URL.

What does sharing files via "Send" do?

Send allows you to directly send multiple assets or an entire board to any workspace without inviting them to yours. You can Send either to an existing workspace (if you know the Workspace ID) or to an email address.

How do I collect files from people without Playbook accounts?

Use your unique Drop link. It's a professional branded page (we call it Dropzone) where anyone can drag and drop files directly into your workspace's Inbox. Senders just have to verify their email.

Account, billing and plans

Does upgrading apply to my entire account or just one workspace?

Upgrades apply to individual workspaces. This allows you to have multiple Pro or Team workspaces as needed for your workflow.

How can I purchase more storage?

When your workspace exceed your plan's included storage, Playbook will automatically add 1TB of storage to your workspace for $25/month to ensure there is no disruption to your workflow.

How can I delete my Playbook account?

You can delete your Playbook account by navigating to Account settings page → select Delete account.

Note: If you're a workspace owner, you must confirm deletion of any workspace you own or assign a new owner to it before the system allows you to complete the deletion.
